Privacy Policy

How Versara Logistics collects, uses, shares and protects your personal data — in plain English, aligned with the Digital Personal Data Protection Act, 2023.

1. Introduction

Versara Logistics ('Versara', 'we', 'us') is committed to protecting the privacy of every person who visits versaralogistics.com or uses our services. This Privacy Policy explains what personal data we collect, why we collect it, how we use it, and the choices you have.

This Policy is aligned with the Digital Personal Data Protection Act, 2023 (India). By using our Site or Services you consent to the practices described here.

2. Data we collect

We collect personal data that you provide to us directly and data we generate as you interact with our Services:

  • Identity & contact: name, company, email, phone number, GSTIN, billing address.
  • Shipment data: pickup and drop addresses, cargo description, weight, vehicle preference, tracking events and delivery timestamps.
  • Payment data: masked card / UPI / bank details processed by our payment partner (Razorpay). Versara does not store full card or account numbers on its servers.
  • Technical data: IP address, device type, browser, session identifiers, referrer URL, pages visited, cookies (see §7).
  • Communication data: messages sent through our contact form, chatbot, WhatsApp, email or phone.

3. How we use your data

We process the personal data listed above for the following purposes:

  • Provide and operate the Services — quotes, bookings, dispatch, tracking, delivery and POD.
  • Generate GST-compliant invoices, E-Way Bills and other statutory documents.
  • Communicate with you about your shipments, contract enquiries, payments and account.
  • Comply with legal obligations under GST, Motor Vehicles Act, income-tax and other applicable laws.
  • Prevent fraud, secure our systems, and enforce our Terms & Conditions.
  • Improve our Services with aggregated, anonymised analytics.

4. Sharing your data

We share personal data only with the following categories of recipients, and only to the extent necessary for the purposes above:

  • Service providers acting on our behalf — payment processor (Razorpay), email/SMS providers, cloud hosting, mapping (Google Maps), analytics.
  • Statutory / regulatory bodies — GST portal, NIC E-Way Bill system, RTO or law-enforcement where required.
  • Business partners — insurers, banks and empanelled fleet partners for consignments involving them.
  • In case of merger, acquisition, or reorganisation, subject to comparable privacy safeguards.

We do not sell or rent your personal data to third parties.

5. Cookies and tracking

We use a small number of cookies and local-storage keys to keep you signed in, remember your preferences, and measure aggregate site performance. You can disable cookies from your browser, but some features (e.g., authenticated portals) may not work without them.

6. Data retention

We retain personal data only as long as necessary to fulfil the purposes for which it was collected, including any statutory, accounting or reporting requirements.

Shipment records, invoices and E-Way Bills are retained for a minimum of 8 (eight) years to comply with GST record-keeping rules. Marketing/contact enquiries are retained for 3 years unless you ask us to delete them sooner.

7. Security

We employ industry-standard technical and organisational safeguards — TLS in transit, encryption at rest for sensitive fields, role-based access, audit logs, TOTP 2FA for staff accounts, and background checks on personnel with access to customer data.

No system is 100% secure. We continuously monitor and improve our controls, and will notify affected users of any material data breach within the timelines required by law.

8. Your rights

Under the Digital Personal Data Protection Act, 2023 and other applicable laws, you have the right to:

  • Access the personal data we hold about you.
  • Correct or update inaccurate personal data.
  • Erase your personal data (subject to statutory retention requirements).
  • Withdraw consent for future processing, and object to processing based on legitimate interest.
  • Nominate another person to exercise these rights on your behalf in the event of your incapacity or death.

9. Children

Our Services are directed at businesses and adults. We do not knowingly collect personal data from anyone below 18 years of age. If you believe we have inadvertently collected such data, please contact us so we can delete it.

10. International transfers

Our servers and most of our vendors operate in India. If personal data is transferred outside India (for example, to a cloud vendor's region), we ensure comparable levels of protection through contractual safeguards.

11. Changes to this policy

We may update this Privacy Policy from time to time. The updated version will be posted on the Site with a new "Last updated" date. Material changes will be highlighted before they take effect.
